A 60% deposit is required to secure your booking and event date. Your booking is only confirmed once the deposit has been received and written confirmation has been provided by The Harvest Heart.

The remaining 40% balance is due 7 days before the event, unless an alternative arrangement has been agreed upon in writing.

Final guest numbers must be confirmed 14 days before the event. Any increase after this date is subject to availability and may result in additional charges.

Menus can be customised to suit your event, preferences, and guests. Menu changes or additional requests made after confirmation may result in additional charges.

All dietary requirements, allergies, and food restrictions must be communicated to us as early as possible. We will make reasonable efforts to accommodate these requirements, but we cannot guarantee an entirely allergen-free environment.

Delivery, setup, equipment, and serving staff are available where agreed and may incur additional charges depending on the requirements of your event.

The agreed catering package includes the service time stated in your quotation. Additional service time will be charged at:
R100 per person, per additional hour.

Cancellations must be made in writing. Refunds and cancellation charges depend on how much notice is provided and the costs already committed to your event.
More than 90 days before the event: Up to 40% of the total amount paid may be refundable, less reasonable costs already incurred.
60–89 days before the event: Up to 20% of the total amount paid may be refundable, less reasonable costs already incurred.
30–59 days before the event: The deposit will ordinarily be non-refundable.
Less than 30 days before the event: Payments will ordinarily be non-refundable, subject to applicable law and the circumstances of the cancellation.

Where possible, we will accommodate requests to move your event to another date. Rescheduling is subject to availability and may result in additional charges where costs have already been incurred.

Clients are responsible for providing accurate venue information and ensuring suitable access for our team. Delays that require our team to remain beyond the agreed service period may result in additional charges.

Once food has been handed over to the client, venue, or designated person, responsibility for its safe storage, handling, serving, and consumption passes to the receiving party, unless otherwise agreed.

Any equipment, tableware, serving items, or other property supplied by The Harvest Heart remains our property unless otherwise agreed. Clients may be responsible for reasonable replacement or repair costs for items that are lost or damaged through misuse or negligence.

The Harvest Heart cannot be held responsible for delays or disruptions caused by circumstances beyond our reasonable control, such as severe weather, natural disasters, venue closure, power failure, transport disruption, fire, civil unrest, or serious emergencies. Where possible, we will work with you to find a suitable alternative.

We may photograph food, table settings, and catering displays for our portfolio and marketing purposes where appropriate consent has been obtained. Clients may request that their event or catering setup not be used for promotional purposes.

Clients are responsible for providing accurate information regarding guest numbers, dietary requirements, venue details, timings, access, menu selections, and special requests.

By paying the 60% deposit and confirming your booking, you acknowledge that you have read, understood, and agreed to The Harvest Heart's full Terms & Conditions of Service.
